Carry Out Audit Assessments

Once an audit has been created, you can carry out an assessment for the audit.

Select from the following to carry out an audit assessment:

Adding or editing an audit assessment
  • Open the relevant audit record.

  • Do one of the following:

    • Click the New Assessment option in the Tasks panel

  • Click the Assessments conducted option in the Associated Items panel and then double-click an existing record to open it

  • The Assessment screen is displayed.

  • Enter or edit the relevant details in the Assessment header information section.

Auditor

The name of the auditor.

Location

The location of the audit. Click the Location button and then navigate to the relevant location. This field is mandatory.

Location Description

A specific description of the location.

Asset

The asset that is being audited.

Assessment Date

The date of the assessment. This defaults to today's date but can be edited.

Re-inspection

The date that the asset is due to be re-inspected.

Assessment Header

The assessment header. This allows you to select the list of questions that are displayed. This field is mandatory.

These can be defined in Audit Questions reference data (accessed by navigating to Health and Safety > Audits > Audits).

4. Expand each questionnaire header and answer the questions as required, attaching Documents, Attributes, Annotations/Actions or using Phrases as required.

5. Click Save.

Managing Assessment Documents

To manage assessment documents:

  • Click the Documents link adjacent to the relevant question.

An answer must be entered or selected to enable the link.

The Manage unsaved documents window is displayed.

2. Click the Add button to add a record, or select an existing record and click the Edit button.

The Edit Document Link window is displayed.

  • Enter or edit the relevant details.

Name

The file name.

Target Path

The local location of the file. Use the Browse File or Browse Folder button to locate the file.

DB Path

The database location of the file.

Link Only

Whether to upload the document to the database. Select this check box if you do not want to upload the file to the database.

Protection Level

The protection level of the file (for example: public).

Is Default

Whether this is the default file.

Type

The type of file.

This cannot be modified.

Size

The size of the file.

Date

The date that the file was uploaded.

  • Click OK.

Using Attributes

Click the Attributes link adjacent to the relevant question to add an attribute.

An answer must be entered or selected to enable the link, and at least one attribute must be defined. Refer to Attribute Manager for further information.

Managing assessment annotations or actions

To manage annotations or actions for an assessment question:

  • Click the Annotations\Actions link adjacent to the relevant question.

An answer must be entered or selected to enable the link.

The Annotations window is displayed.

  • Enter or edit the relevant details.

A field to enter the annotation.

Type

Whether the annotation is a recommendation, observation or an action.

Estimated Cost

The estimated cost of the recommendation, observation or action.

Actual Cost

The actual cost of the recommendation, observation or action.

Priority

The priority of the recommendation, observation or action.

Target Date

The date that the recommendation, observation or action should aim to be completed by.

  • Click OK.

Using set phrases in an assessment

To set phrases:

  • Click the Phrases link adjacent to the relevant question.

An answer must be entered or selected to enable the link, and at least one phrase must be defined against the answer in Audit Questions reference data (accessed by navigating to Health and Safety > Audits > Audits).

The Phrases window is displayed.

  • Select the relevant phrase and then click OK.

The phrase is added to the answer.

  • Edit the phrase as appropriate.
