Ledgers

The Purchase Ledger Entry Editor allows you to add a new Purchase Ledger Entry or edit an existing one.

Adding or Editing a Purchase Ledger Entry

The Purchase Ledger Entry Editor allows you to add a new Purchase Ledger Entry or edit an existing one.

To create a new Purchase Ledger Entry:

  • Navigate to Finance > Ledgers > New Purchase Ledger Entry.

The Purchase Ledger Entry Editor is displayed.

  • Enter details of the purchase ledger entry.

The fields on the Purchase Ledger Entry Editor tab are described in the following table:

Purchase Ledger Entry Code

This field is mandatory.

Supplier/Contractor

The supplier or contractor. This field is mandatory.

Note: Suppliers are defined in the Agency Editor (accessed by navigating to Functions > Core > New Agency). Refer to Add or Edit an Agency for more information.

Minimum Contract Value

The minimum contract value in pounds sterling.

Maximum Contract Value

The maximum contract value in pounds sterling.

Maximum Outstanding Commitment

The maximum outstanding commitment in pounds sterling.

Maximum Annual Contract Value

The maximum annual contract value in pounds sterling.

Active

Whether the purchase ledger entry is active.

Description

A description of the purchase ledger entry.

VAT Registration Number

The relevant value-added tax (VAT) registration number.

Payment Terms

The terms of payment.

  • Click Save.

When you create a new purchase ledger entry, the following options are added to the Tasks panel:

Adding a New Sales Ledger Entry

The Purchase Ledger Entry Editor allows you to add a new Purchase Ledger Entry or edit an existing one.

To create a new Sales Ledger Entry:

  • Navigate to Finance > Ledgers > New Sales Ledger Entry.

The Sales Ledger Entry Editor is displayed.

  • Enter details of the sales ledger entry.

Sales Ledger Account Code

This unique sales ledger account number. This field is mandatory.

Client

The relevant client, whether agency or contact. This field is mandatory.

Description

A description of the sales ledger entry.

Active

Whether the sales ledger entry is active.

VAT Registration Number

The relevant value-added tax (VAT) registration number.

Payment Method

The payment method.

  • Select from the drop-down list. This field is mandatory.

These can be defined in Payment Method Reference Data (accessed by navigating to Finance > Finance ).

  • Click Save.

When you create a new sales ledger entry, the following options are added to the Tasks panel:

Viewing Ledgers

Ledgers allows you to view ledgers by financial year.

  • Navigate to Finance > Ledgers > Ledgers.

The Ledgers screen is displayed. The Nominal Ledger (Account Code) tab displays all relevant account codes within the grid.

The grid displays unfiltered search results.

The buttons on the Ledger screen are described in the following table:

Financial Year

Displays the relevant financial year.

  • Select from the drop-down list.

These can be defined in Financial Years Reference Data (accessed by navigating to Functions > Core > Reference Data > Core).

Refresh

Refreshes the information displayed in the grid.

Include Archived

Toggles the inclusion or exclusion of archived nominal ledgers.

Include Non-Active

Toggles the inclusion or exclusion of non-active purchase or sales ledgers.

The Nominal Ledger (Cost Centre) tab displays all relevant cost centre codes within the grid.

The Purchase Ledger tab displays all relevant purchase ledgers within the grid.

The Sales Ledger tab displays all relevant sales ledgers within the grid.

Tasks/Associated Items

Adding or Editing an Agency Site Code

To add or edit an Agency Site Code to a Ledger.

  • Select New Agency Site Code from Tasks panel

Agency Site Code

The Site Code for the Agency. This field is Mandatory.

Primary Object

The Primary Object the site code is related to. This field is Mandatory.

Street

Street Name.

Locality

Locality of address.

Town

Town of address.

Area

Area of address.

Post Code

Post Code for address.

Is Default

Set this if this is the default Site Code for the Agency.

  • Click OK to save.

Agency Site Code(s) will appear in the Associated Items panel.

  • Select Agency Site Code(s) to view all agency site codes linked to the ledger.

  • Double click on a row to open the dialog and edit the site code.
