Resource Booking Reference Data

The Resource Booking reference data window can be accessed by navigating to Resource Booking > Resource Booking.

You must have a role with the ResourceBookingReferenceData permission to access this window.

Refer to Managing Reference Data for further information on using reference data screens.

The following reference data is available:

Booking Periods

Use this reference data to define periods for which a user can book a resource (for example: One Hour, One Day, and so on).

Booking Type

Use this reference data to define a booking type.

Charge Types

Use this reference data to define additional charges that can be linked to a booking (for example: Security or Parking).

Custom Email Text

Use this reference data to define the format of an automatically generated email for bookings.

Holds this information...

Subject

The standard subject text for the email (for example: Booking Confirmation).

Attachment

The file path of an attachment.

Text box

The body text for the email.

Fields

The list of data record fields. Fields can be dragged into the text box to populate the body text.

Standard Text

The standard email disclaimer text defined in the system settings. Fields can be dragged into the text box to populate the body text.

Events

Use this reference data to define booking events (for example Staff Meetings, Presentations, Conferences, and so on).

Service Status

Use this reference data to define statuses for services that can be added to a booking (for example, Open, Closed, Archived, and so on).

Description

A description of the service status.

Is Default

Whether the record is the default service status.

You can only select one record to be the default.

Is Closed

Whether the record is closed. This removes the service from the Service Request Manager.

Is Cancelled

Whether the record is cancelled.

Is Archived

Whether the record is archived.

Service Types

Use this reference data to define the services that can be provided.

Clicking the New button or double-clicking an existing record displays the Service Type window, which allows you to record further information.

Service Description

A description of the service type.

VAT/GST

The VAT or GST rate.

Unit Cost

The cost of each unit of the service.

Archived

Whether the record is archived.

Email Role

The role that defines a group of users that will be emailed when a service booking is made. Refer to Managing Roles for further information on creating and assigning roles.

Subject

The subject of the email.

<Email body>

The body of the email.

Standard Text

Standard text that can be assigned to the email, if defined in Core Reference Data.
