Configuring Resource Booking

Select from the following to help configure the Resource Booking functionality:

Roles and Permissions

The Resource Booking Notification role is used to notify the user that a booking has been made.

The permissions applicable to the Resource Booking module are described in the following table:

View, create, and update records in Resource Booking.

Confirm bookings in Resource Booking.

View, create, and update Resource Booking Reference Data.

Access the Resource Booking Services Manager.

System Settings

The following system settings apply to the Resource Booking module:

  • The Resource Booking group in System Options (accessed by navigating to Tools > System Options and then clicking the System Options button) contains settings for the Resource Booking module.

  • The Working Schedule Options (accessed by navigating to Tools > System Options and then clicking the Working Schedule Options button) is used to define working hours for your organisation so that different rates can be assigned to rooms and zones for working hours and non-working hours.

Ensure that 'Resource Booking' is selected from the Schedule Type drop-down list.

Reference Data

The following reference data applies to the Resource Booking module:

  • All items in Resource Booking Reference Data (accessed by navigating to Resource Booking > Resource Booking)

  • Zone Layout Style in Core Reference Data (accessed by navigating to Functions > Core > Reference Data > Core)

  • Layout Styles in Rooms Reference Data (accessed by navigating to Functions > Core > Reference Data > Rooms) - when a room is identified as a booking resource, it must also be assigned a room layout

  • The following items in Usage in Rooms Reference Data (accessed by navigating to Functions > Core > Reference Data > Rooms):

    • The Booking Resource field on the Main Details tab - allows you to define whether the room is a booking resource.

  • The Resource Booking tab - this allows default booking periods, costs, and available services to be defined.

Booking Period

The default booking period applies to the room usage.

Duration

The booking duration. This is populated automatically based on the Booking Period selection but can be overwritten after selecting the Override check box.

In Working Hours Cost

The cost to use the room for the booking period duration if it is within working hours.

Out of Working Hours Cost

The cost to use the room for the booking period duration if it is outside working hours.

Restrict Available Service Types

Whether or not all services are available in the room.

The services that are available in the room.
